Your privacy is important to us
This Privacy Policy is issued by Zusashi Canada Inc., operating as Zusashi Maintenance Company ("Zusashi Maintenance," "we," "us," "our"), 7030 Woodbine Ave, Suite 500, Markham ON L3R 6G2. It explains what personal information we collect when you visit our website or use our commercial cleaning services, where that information goes, how long we keep it, and how you can reach us about it.
We are a Canadian business serving the Greater Toronto Area, and we handle personal information in line with PIPEDA (the Personal Information Protection and Electronic Documents Act), together with Ontario privacy legislation.
We also align with the GDPR (General Data Protection Regulation) for any visitor from the European Union — meaning we extend the same core rights described in Section 8, including access, correction, deletion and portability. We say aligned rather than compliant deliberately: full GDPR compliance carries obligations built for organisations with an EU establishment, such as appointing a Data Protection Officer and maintaining Article 30 records of processing, and we do not hold those. When you submit a form that asks for your agreement, we record the date and time, the form, the version of our terms, your full IP address and your browser details (the "user agent"). We keep this as proof of your consent.
When you send a form, it includes a short note of how you found us: the page you first landed on, the website you came from (its address only, not the full link), how many pages you viewed on this visit and how long you took to send the form. During your visit this is stored only in your browser tab. If you accepted cookies, the first page you ever landed on is also remembered in your browser for later visits. This information is saved with your form in our lead file.
We keep a log of what visitors type into our site search and our chatbot, and which answer or result they were given. Before anything is saved, our server removes email addresses, phone numbers and postal codes. Each entry also records the device type, an approximate city and region provided by our network provider, and a random ID that lasts only for that visit. It does not record your IP address and uses no cookies. Google Analytics receives only the type of reply the chatbot gave, never the words you typed.

We manually enter lead and client details — such as names, contact details, site addresses, quotes and account notes — into Airtable to manage quotes and accounts. We also keep communication records such as emails and phone call notes.
As set out in section 8.3 of our Terms of Service, we may photograph client premises for quality assurance and to report completed work. People are not photographed for publication. Any photograph we use publicly will not show people, client names, logos, documents or confidential information, and we never publish photographs taken at healthcare or childcare clients.

All marketing communications are sent in compliance with Canada's Anti-Spam Legislation (CASL). You can opt out of promotional emails at any time by clicking the unsubscribe link at the bottom of any email, and we will process your request promptly.
Cookies are small text files stored on your device when you visit our website. Similar browser storage works the same way. They help us remember your choices and understand how you use our site.

If Zusashi Maintenance is acquired or merged with another company, your information may be transferred to the new owners.
Some of the service providers listed in section 5.1 — for example Google, Microsoft, Cloudflare and Airtable — process data on servers located outside Canada, including in the United States. By using our website or submitting an inquiry, you understand that your information may be transferred to, stored in, and processed in jurisdictions whose privacy laws differ from Canada's. We choose providers that maintain safeguards substantially similar to PIPEDA standards, and we limit the data shared with them to what is necessary for the stated purpose.
If we are unable to service your inquiry — for example, because your location is outside our service area or falls outside our current capacity — we may refer your inquiry to partner providers so that you can still receive service. Only the information needed to action the referral is shared, and it is shared solely for that purpose.
Some services we contract for are performed by specialist subcontractors working under our management — for example asphalt sealcoating and paving repair, floor coating installation, commercial junk removal and clear-out hauling, wash-water containment, and commercial fleet washing. This is different from a referral under section 5.5: your agreement remains with Zusashi Maintenance, we remain accountable for the work, and the subcontractor performs it on our behalf.
To make that possible we share the information the subcontractor needs to attend and complete the job — typically the site address, the site contact name and phone number, access and scheduling details, and the agreed scope. We do not share information that is not needed for the work, and subcontractors are engaged on the basis that they use it only to perform that job and not for their own marketing. If you would prefer we tell you which subcontractor is attending before a visit is scheduled, ask and we will.
We protect your personal information with reasonable safeguards:
In the unlikely event of a data breach that poses a real risk of significant harm to your personal information, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
