Why Keep a Pet Boarding Cleaning Log

Sanitary conditions are a standard of care in Ontario, and an inspector can arrive without an appointment. A dated sheet is the difference between showing a routine and describing one.

Show The Routine, Do Not Describe It

Sanitary conditions and adequate ventilation are basic standards of care under the Provincial Animal Welfare Services Act, and because a boarding facility keeps animals commercially, a provincial inspector may enter and inspect without a warrant. Nobody can make you “compliant” — the duty is the facility’s. What a signed daily sheet does is make the routine visible instead of asserted.

Contact Time Is The Whole Claim

A disinfectant wiped dry in twenty seconds has not done what its label describes. Canine parvovirus is non-enveloped, survives alcohols and many ordinary quats, and persists for months — so the product choice and the dwell time are the disinfection, and a log without a contact-time column cannot evidence either.

Record The Runs You Could Not Clean

Crews never handle animals, so an occupied run gets skipped — correctly. The column that captures that is the most useful one on the sheet: a run marked occupied nine days running is not a scheduling quirk, it is an enclosure nobody has properly cleaned in over a week.

The Cleaner Is Often First In The Room

Loose stool, vomit, blood, a cough heard through a door, hair loss on a bed. The observation column turns that into a dated written note passed to your staff, who decide what it means. It is an observation line, not a diagnosis and not a health record.

Does Ontario require a boarding kennel to keep cleaning records?

The law does not prescribe this specific sheet. What it does is make sanitary conditions a basic standard of care under the Provincial Animal Welfare Services Act, and give provincial animal welfare inspectors the power to enter premises where animals are kept commercially — without a warrant — to check compliance. A dated, signed record is simply the most practical way to show a routine exists on a day when somebody asks. Your municipality may also license and inspect boarding kennels under its own by-law, which can carry record expectations of its own.

Why is there a contact-time column?

Because it is the part of disinfection that actually fails. Every DIN-registered disinfectant has a label contact time — the period the surface must stay visibly wet — and a product wiped off early has not made its claim. It matters most against canine parvovirus, which is non-enveloped, survives alcohols and many ordinary quaternary products, and persists in the environment for months. Recording the product, its DIN and the dwell time turns “we disinfected” into something checkable.

Should the sheet show runs that were not cleaned?

Yes, and that is deliberate. A cleaning crew should never be moving, restraining or releasing animals, so an occupied enclosure is skipped rather than entered. The “occupied — not cleaned” box records that honestly. Over a fortnight it also exposes the pattern nobody notices in the moment: the same run number skipped again and again because the cleaning slot always lands when it is full.

What belongs in the animal observation column?

What was seen, factually, with the run number and the date: loose stool, vomit, blood, hair loss, a lesion, a cough heard through the door, an untouched bowl. It goes to your staff, who decide what it means. It is not a diagnosis, it is not a veterinary record, and no cleaning contractor should be writing one. Left out entirely, the person most often first into an empty run has nowhere to put what they noticed.

Can I use this as our pest control record?

No. Pest control is licensed work in Ontario under the Pesticides Act, and baiting, spraying and monitoring are performed and documented by your licensed operator in their own service report. If a crew sees droppings or gnaw marks it should be reported in writing, but this sheet records cleaning.

Do the grooming areas need their own sheet?

Usually yes, because the order of work is different. Ringworm spores travel on shed hair and skin scale, so in a salon the decisive step is mechanical — hair off the floor, tub, table, dryer, grilles and traps — before anything wet is applied, and then a product carrying a fungicidal claim. Running grooming as its own log type keeps that sequence visible instead of buried in a general kennel row.

Is bleach fine to record here?

Record whatever product you actually used, with its DIN. One safety point belongs on the sheet rather than in a memo, though: bleach must never go onto a run that still has urine in it — sodium hypochlorite plus the ammonia in urine releases chloramine gas in a small enclosed space at floor level.
