OHSA s.25.3 requires all Ontario employers who provide washroom facilities for workers to maintain those facilities clean and keep records of cleaning. Not optional.
Records can be posted physically at the washroom or electronically (Bill 190 added s.1(5) to the OHSA allowing electronic posting of required documents â in force Oct 28, 2024).
Ministry of Labour inspectors can request to see your cleaning records. The log must be current, posted conspicuously, and available to workers at all times.

The record of cleaning is legislated, not optional â this applies whether you're a Schedule 1 employer or any other workplace that provides washroom facilities.
The cleaning record must be readily available to workers. Most employers post the sheet conspicuously at or near the washroom, but Bill 190 also added a provision allowing required documents to be kept and posted electronically (in force Oct 28, 2024) â so a digital record or binder that workers can access also works. Whichever you choose, keep it current.
A Ministry of Labour inspector can request your cleaning records and, if they're missing, issue an order to comply. Continued non-compliance under the OHSA can lead to further enforcement. A current, posted washroom cleaning log (or bathroom cleaning log â same thing) is the simplest way to demonstrate you're meeting the duty if you're ever inspected.
