Bill 190 created a new statutory duty for Ontario employers. Here's what you need to know.
OHSA s.25.3 requires all Ontario employers who provide washroom facilities for workers to maintain those facilities clean and keep records of cleaning. Not optional.
Records can be posted physically at the washroom or electronically (Bill 190 added s.1(5) to the OHSA allowing electronic posting of required documents — in force Oct 28, 2024).
Ministry of Labour inspectors can request to see your cleaning records. The log must be current, posted conspicuously, and available to workers at all times.
Applies to offices, clinics, restaurants, warehouses, retail stores, and all other Ontario workplaces — not just construction sites or healthcare facilities.

Under OHSA s.25.3, the record should show that the washroom is being kept clean — typically the date and time of each cleaning, who cleaned it (name or initials), and space for notes. This generator's log card includes Date, Time, Cleaned By, Initials and Notes columns, plus the legislative reference, so it works as a compliant record form out of the box.
Bill 190 requires washrooms to be kept clean and that records of cleaning be maintained, but it doesn't set a fixed number — frequency depends on use. Most workplaces clean at least daily; high-traffic or shift-based sites clean twice daily or every shift change. You can set the frequency on your log card to match your schedule.
Yes. Print one card per washroom and use it as a recurring cleaning checklist and tracker — each row is one logged clean. Choose 14, 20, 30 or 60 rows depending on how long you want each posted sheet to last before you swap it.
