Why Keep a Hotel Room Cleaning Log

Nothing here is required by a regulator. It is required by the fact that nobody can be on every floor at once.

One Signature Is a Task List. Two Is a Standard.

The room attendant and the inspector are different people, and almost every housekeeping complaint lives in the gap between them. A sheet with only cleaned by tells you a room was attended. A sheet with cleaned by and checked by tells you somebody looked afterwards — and, when a guest complains about 314, tells you in five seconds who cleaned it, who passed it and whether it was checked at all.

The Deep Clean Nobody Tracks

A room gets serviced every day and deep cleaned on a rotation — headboards, under the beds, mattress protectors, vents, curtains, upholstery. The rotation is the first thing to slip when the house is full, and it slips silently. You find out in a review, months later. A next due column turns the rotation from something somebody remembers into something the sheet schedules.

Maintenance Issues Die in Conversations

A housekeeper finds a dripping tap, a stained ceiling tile, a loose grab rail. It gets mentioned at handover and it evaporates. Writing the issue and who it was passed to on the same line as the room number is the cheapest maintenance-reporting system a property can run, and it means the same fault is not rediscovered by a guest three weeks later.

It Survives a Change of Contractor

Housekeeping is the department most often outsourced, and outsourced departments change hands. When they do, the standard walks out of the building with the outgoing supervisor unless it is written down somewhere. A stack of completed sheets is the only thing that shows the incoming team what “done” looked like here — and shows you whether it still does.

Is there a free printable hotel room cleaning log?

Why are “cleaned by” and “checked by” separate columns?

Because they are different people, and the gap between them is where housekeeping complaints come from. One signature records that a room was attended. Two record that somebody looked afterwards. When a guest complains about a specific room, a two-signature sheet answers in seconds who cleaned it, who passed it, and whether it was actually checked — which is a much more useful conversation than trying to remember who was on that floor.

What counts as a deep clean, and how often should it happen?

Deep cleaning is the work that daily servicing does not reach: headboards and bed frames, under and behind the beds, mattress protectors, vents and grilles, curtains and blinds, upholstered chairs, light fittings, and behind and under fixed furniture. How often is your call and it varies with property type, occupancy and season — there is no Ontario rule setting it. What matters is that a rotation exists, that the sheet carries the next due date, and that it does not quietly slip when the house is full, which is exactly when it does slip.

Does this replace our brand standard or PMS checklist?

No. If you run a franchise flag you already have a brand standard, and your property management system may generate room-status data. This is a paper record of who did the work and who checked it — the part that is usually verbal. Plenty of properties run both; the sheet costs nothing and does not need anybody to be logged in.

Is this a Bill 190 washroom cleaning record?

No, and the two should not be merged. Since 1 July 2025 Ontario employers who provide washrooms for workers must keep them clean and keep records of that cleaning under the Occupational Health and Safety Act. That covers your staff and public washrooms, and we publish a separate free washroom cleaning log built for it. This sheet is guest rooms, which is a different job and a different record.

Is a hotel cleaning log required by law in Ontario?

Not for guest rooms, no. There is no hotel cleaning regulator and no legislated guest-room record, and any supplier telling you otherwise is selling something. The workplace washroom duty above is real and separate; food service and any pool or spa on the property are inspected by your local public health unit under their own rules. This sheet is an internal operational record, and it is useful for exactly the reasons on this page rather than because somebody will demand it.

How should we split the sheets — per floor or per shift?

Whichever matches how your board is already split, because a sheet that does not match the board does not get filled in. Most properties print one per floor per day. Larger houses split by wing or by section and print per shift. Extended-stay properties often run one sheet per week with stayover services down the rows, since departures are less frequent. Put the floor or wing in the location field and it prints on the header.

Do you clean hotels in the GTA?

Yes — guest rooms, public areas, back of house and the deep-clean rotation, across the Greater Toronto Area. Ordinary guest-room incidents are within scope: a post-illness room, a spill, a small body-fluid clean-up done with PPE, DIN-registered products at the labelled contact time and sealed-bag disposal, with a written note for your incident log. What is not ours is a death in a room, a large contamination event, sharps, sewage or a hazmat spill — those are a licensed biohazard specialty with their own training and disposal chain, and we will say so on the call rather than take the job.
