Why Keep a Water Damage Incident Log

Everything after a water event is judged on timing, and timing is the one thing nobody records while it is happening.

The Only Question Anyone Asks Later

“How long was it wet?” An insurer asks it, a tenant asks it, and so does the mould contractor who turns up three weeks afterwards. In the moment nobody writes it down because everybody is busy carrying things out of a room. Four time columns on one sheet cost almost nothing on the day and are impossible to reconstruct honestly a month later.

Twenty-Four To Forty-Eight Hours

CCOHS advises cleaning up floods and spills immediately, within 24 to 48 hours, and says rapid drying is what prevents mould growth. That window is the line between one contractor and two. Recording when drying actually started — not when it was booked — is what shows the window was met.

Time Decides What Gets Thrown Away

Hard non-porous surfaces clean up. Porous materials wet for 48 hours or more generally do not, and CCOHS is direct that soaked flooring should be removed and discarded. When a contractor and an adjuster later disagree about whether drywall could have been saved, the dated sheet is the only thing in the room that is not a memory.

Record What Kind Of Water It Was

Clean supply water, water that picked something up on the way, or sewage — they are three different jobs, and the last one is nowhere to put ordinary staff. CCOHS advises assuming flood water is contaminated with sewage and chemicals until somebody qualified says otherwise. Noting it at the time settles what can be kept and who should be in the room.

We do not do water damage restoration — extraction, structural drying and clearance are a specialist trade and we say so plainly. Why are four of the columns times?

Because timing is what everything after a water event turns on, and it is the one thing nobody records while it is happening. Discovered, source stopped, drying started, confirmed dry. An insurer will ask, a tenant will ask, and if mould appears later so will that contractor. Written on the day these cost seconds; reconstructed a month later they are guesswork, and everybody knows it.

What is the 24 to 48 hour figure?

The Canadian Centre for Occupational Health and Safety advises cleaning up floods and spills immediately, within 24 to 48 hours, and states that rapid drying is what prevents mould growth. It is the practical line between a water problem and a water problem plus a mould problem. The column that matters most for it is drying started — when equipment was actually running, not when somebody was booked.

What should go in the water type column?

Plain language is fine and is what we have used: clean supply water (a burst pipe, a supply line, a sprinkler head), water that picked something up on the way (through a ceiling, across a floor, from a dishwasher or washing machine), or sewage and drain backup. CCOHS advises assuming flood water is contaminated with sewage and chemicals until somebody qualified establishes otherwise. It matters because it decides what can be kept and who should be in the room.

Does this replace the restoration contractor's paperwork?

No, and it should not be presented as one. A restoration contractor takes daily moisture readings and issues their own monitoring log, and any clearance or verification is theirs too. This sheet is your record of the incident: what happened, when, what was affected and when it was closed out. Keeping both is the right arrangement.

What if we do not know when it started?

Write that down, honestly, and record when it was discovered instead. “Discovered 08:10 Monday, last known dry Friday 17:00” is a genuinely useful entry — it brackets the exposure and it is defensible. A guessed start time that turns out to be wrong is worse than an honest range, particularly if a claim is involved.

Do we need this if we are claiming on insurance?

It helps, and it costs nothing. On an insured loss your insurer will often direct you to a vendor from their own panel, and their process will generate its own paperwork — but that starts when they are notified, not when the water started. Your own dated timeline covers the gap at the front, which is exactly the period a dispute tends to focus on. Speak to your broker early, before drying equipment is running.

Do you do the restoration work?

No. Extraction, structural drying, dehumidification, moisture testing and clearance are a specialist trade and not what our crews do.
