Why Keep a Trailer Washout Log

A washout that nobody wrote down is a washout that did not happen, as far as a shipper or an auditor is concerned. The log is what turns "we wash between loads" into something per-trailer, per-date and signed.

No Ticket, No Load

Most food and pharmaceutical shippers want a washout record before a trailer is loaded, and some will refuse the unit without one. The record travels with the trailer, not with the wash bay, which is why it needs to be per-unit and dated rather than a note in somebody's phone.

The Previous Load Is the Whole Point

Carryover is the real risk in shared-use trailers: allergens from a previous food load, residue from non-food freight, or odour that transfers into the next shipment. Logging what was in the trailer last is what makes an allergen changeover defensible instead of assumed.

Reefers Have Their Own Problems

Refrigerated units add floors that hold standing water, ribbed walls and drains that trap debris, and air chutes that are easy to skip. Recording the washout type separates a full interior sanitize from a quick sweep-out, so nobody has to guess which one a trailer actually got.

Audits Look for the Record, Not the Memory

Transport sanitation sits inside the preventive controls a food business is expected to document, and third-party audit schemes ask to see it. A signed sheet per unit is the simplest evidence that the routine is real, continuous, and not written up the week before an audit.

What should a trailer washout record include?

At minimum: the date, the trailer or unit number, the previous load, the type of washout performed, who did it, the product and its Health Canada DIN, the contact time observed, and a sign-off. The previous load and the contact time are the two columns people leave off and the two an auditor is most likely to ask about — the first because it determines whether an allergen changeover was needed, the second because a sanitizer that was not left wet long enough did not sanitize.

How often does a reefer trailer need a washout?

It depends on what it hauls rather than on a fixed interval. Common practice is a full interior wash and sanitize between incompatible loads or when changing between raw and ready-to-eat product, a washout whenever there has been a spill or leaking product, an allergen changeover before a load that shares equipment with a known allergen, and a scheduled deep clean on top of that. Dry vans hauling packaged goods usually run longer between washouts than reefers hauling produce or meat. Your shipper contracts and your own preventive control plan set the actual requirement.

What is an allergen changeover washout?

It is a washout performed specifically because the previous load contained a food allergen — peanuts, tree nuts, milk, egg, wheat, soy, sesame and the rest of Canada's priority allergens — and the next load must not be cross-contacted with residue from it. It usually means a full interior wash rather than a sweep-out, with attention to floor seams, ribbed walls and any place particulate can lodge. Recording the previous load is what makes it possible to show the changeover happened when it was needed.

Do Canadian regulations require trailer washout records?

Food businesses in Canada operate under the Safe Food for Canadians Regulations, which require preventive controls covering the conveyances and equipment food is transported in, and require that those controls be documented. Third-party audit schemes used by grocery and food-service buyers ask for the same evidence. This template is a record-keeping aid designed to make that routine easy to evidence — it is not a statement of what any regulation or shipper specifically requires of you. Confirm your obligations against the current regulations, your customers' contracts and your own preventive control plan.
